Connect an Email Account

Go to Email Accounts → Connect Account. Add your Gmail, Outlook, Brevo, or any custom SMTP. This is the email address your customers will receive review requests from.

💡 Gmail users: Use an App Password from Google Account → Security → App Passwords. Your regular Gmail password won't work here.

Upload Your Customers

Go to Customers → Upload CSV. Your CSV needs at minimum: Name and Email columns. Phone, city, country are optional but useful for personalisation.

Create & Activate Campaign

Go to Campaigns → New Campaign. Set your Google review link, select your customer list, pick your email account, and set the follow-up schedule. Click Activate — emails start immediately.

Click + Connect Account and choose your provider. All major providers are supported.

Fill in SMTP Details

Enter your account name, SMTP host, port, username, and password. For Gmail — you must use an App Password, not your regular password.

⚠️ Gmail users: Go to Google Account → Security → Enable 2-Step Verification → App Passwords → Generate for "Mail". Use the 16-character code as your password here.

Test & Verify

After saving, click 🔌 Test to check the SMTP connection, then 📨 Send Test to send a real test email to yourself. The account shows "Verified" only after a real email is delivered.

Create a List

Go to Customers → New List. Give it a descriptive name like "Restaurant Customers June 2026". Lists keep your customers organised by campaign or time period.

Upload CSV or Add Manually

Upload a CSV file or add customers one by one. Duplicate emails are automatically skipped. Header row is auto-detected.

Go to Templates → New Template. Write a subject line and email body. You can create multiple templates for different campaigns or business types.

Campaign Name & Review Link

Give your campaign an internal name. Add your Google review link — this is where customers land after clicking "Great!"

💡 Find your Google review link: Google Maps → Search your business → Click Share → Copy link to review.

Select Customer List & Email Account

Choose which customer list to use and which email account to send from. Leave on "Auto Rotation" to use all your connected accounts automatically.

Follow-up Schedule

Set how many follow-ups to send and on which days from campaign start. Common patterns:

Sending Window

Choose which days of the week and between what hours to send. Emails only send within your chosen window, respecting your account timezone.

Activate & Monitor

Go to QR Codes and select a campaign. A unique QR code is generated that links directly to your review funnel page.

Do I need any technical knowledge to use this?+
Not at all. If you can send an email, you can use AutoReviewsPilot. Setup takes under 10 minutes — upload your customer CSV, connect Gmail, create a campaign, and activate. The AI can even write your emails for you.
Will unhappy customers leave a bad public review?+
No. Customers who select "Not Great" are directed to a private feedback form — their message goes only to you. Only customers who click "Great!" are redirected to your Google review page. Your public rating stays protected.
Which email providers are supported?+
Gmail, Outlook, Brevo, Amazon SES, and any custom SMTP provider. You can connect multiple accounts and AutoReviewsPilot automatically rotates between them for maximum deliverability and sending capacity.
How many follow-up emails will my customers receive?+
You control this completely in campaign settings — 1 to 4 follow-ups on any schedule you choose (e.g. day 0, 1, 3, 5). Once a customer leaves a review or clicks "Not Great", all remaining follow-ups are cancelled automatically.
Is my customer data safe?+
Yes. We never share or sell customer data to any third party. Customer lists from inactive accounts are automatically deleted after 30 days. All SMTP passwords are encrypted in the database.
Can I use this for platforms other than Google?+
Yes. The review link in your campaign can point to any platform — Google, Trustpilot, Yelp, Facebook, TripAdvisor, Booking.com, or any URL you choose.
